An AI assistant for agencies juggling clients, revisions and deadlines

Tessa reads your agency's email, Slack and meetings, logs what each client asks for and chases approvals for you. You review and hit send.

"Did the client sign this off, or did they just say they liked it?"

Agencies rarely lose work to a lack of talent. They lose it between threads. A client asks for a change by email, tweaks it on a call, the team discusses it in Slack, and the final version ends up in a Drive folder nobody can find. By Friday, nobody is sure what's approved, what's waiting on a reply or which deadline moved.

Meanwhile, proposals go cold because nobody has time to write the third "any thoughts?", and account managers spend half the morning piecing together what was said with each client before every meeting.

How it works with Tessa

  1. 1

    Connect Google and Slack

Everyone at the agency connects their email, calendar and Slack in one click. Pick the "Agency" template and Tessa already knows client changes, approvals and deadlines come first, while tool notifications can wait.

  2. 2

Every client request becomes a task

"Can you swap the headline and bring delivery forward to Thursday?" turns into a task with a due date and priority, linked to the original thread. Anything you've already answered, or that was just an automated notice, closes itself.

  3. 3

Tessa takes notes on client calls

She joins as "Tessa (notetaker)" and the minutes highlight what the client wants changed, what's approved and which dates were promised. Tasks come out with an owner attached.

  4. 4

    She chases approvals

If a proposal has been sitting unanswered for days, Tessa drafts a friendly nudge in your voice. You check it and send with one click; nothing reaches a client without your OK.

What you get

  • A per-client snapshot every MondayWhat ships this week, what's waiting on a reply and what's blocked, client by client, without opening twenty threads.
  • Fewer "we never asked for that" momentsChanges and sign-offs are written down in the minutes and the task, linked to the source. When in doubt, search and find it.
  • Proposals that don't go coldFollow-ups draft themselves and go out when you say so. Sales without a CRM flags deals that have stalled.
  • Calls prepped in ten minutesBefore every call you get who's joining, what you discussed last time and what you still owe that client.

Routines built for agency life

The "Agency" template imports these routines on day one. Change them or write your own in plain words:

  • "Every Monday, summarise this week's deliveries and anything awaiting a reply, by client."
  • "If a client hasn't answered a proposal in 3 days, draft me a friendly reminder."
  • One you might add: "After every client meeting, create the revision tasks and post them in the project channel."

The tools that matter for an agency

The core runs on Google Workspace (Gmail, Calendar, Drive and Meet) and Slack. If you manage work in Asana, Trello, ClickUp, Notion or Jira, or deals in HubSpot or Pipedrive, Tessa connects to those too, though these integrations are in beta. If you invoice with Holded (beta), Tessa flags overdue invoices and drafts quotes for you to approve.

Privacy for clients and for your team

Whatever Tessa reads in someone's inbox is visible only to that person. Managers see the state of the work (deliveries, blockers), never how long someone spends on a client or what they're up to: Tessa produces no individual metrics for bosses. Data is stored encrypted on EU servers, and anything going out to a client, like a reminder or a quote, waits for your approval.

What Tessa reads for each person stays private, your data is stored in the EU and nothing goes out without your approval.

Frequently asked questions

Does Tessa replace our project management tool?

No. Tessa sits on top of what you already use: she turns emails, messages and meetings into tasks and, if you connect Asana, Trello, ClickUp or Jira (beta), pushes them there. Your project tool stays yours.

Can she email clients without me seeing it first?

Not by default. Everything leaving the company waits for your approval. Tessa drafts; you decide whether it goes as is, gets edited or gets binned.

Does it work if the client call is on Zoom or Teams?

Yes. Tessa joins Google Meet, Zoom and Teams as a notetaker; Zoom and Teams are in beta. The minutes highlight requested changes, approvals and delivery dates.

Can agency managers see what each person is doing?

No. They see the team's work (tasks, deliveries, blockers), never anyone's inbox or individual metrics. That's a design decision we don't change per customer.

How much does it cost for a small agency?

There's a free plan for up to 3 people with tasks from email, replies and follow-ups. Meetings, Slack and routines are on the Team plan, which you can try for 14 days with no card.

What does your team look like?

Same AI for both. Where you start is what changes.
