An AI assistant for accounting firms that live by the tax calendar

Invoices that never arrive, clients who write on the 19th and quarters piling up: Tessa sorts the inbox and chases paperwork for you.

"It's always the 18th, and there's always a document missing"

An accounting firm in Spain runs on the calendar: VAT (303) and withholding (111) every quarter, the annual summaries in January, corporate tax in July. Every deadline depends on something you don't control: clients sending invoices, bank statements and payroll on time. Usually, they don't.

The inbox fills with attachments without context, stray questions ("is this deductible?") and notices from the tax agency. The team splits up the clients, but nobody can see at a glance who still owes what, and reminders get written one by one, by hand, in the worst week of the quarter.

How it works with Tessa

  1. 1

    Connect the team's inboxes

Everyone connects their Google account (or Microsoft 365, in beta) and Slack if you use it. Tessa learns what's urgent in your work as you correct her priorities.

  2. 2

Every client email becomes a task

"Here are September's invoices" or "when do we pay the VAT?" become tasks with a priority and a date, linked to the thread.

  3. 3

    Follow-ups on missing paperwork

Ask for the documents once and Tessa watches the thread: if the client goes quiet, she leaves a reminder drafted for you to send in one click.

  4. 4

    Routines before every quarter

Write in plain words what should happen before each deadline, and Tessa prepares it every time.

What you get

  • Less chasing by handClient reminders draft themselves and go out when you approve them.
  • A clear picture before the deadlineWhich clients have sent their paperwork and which haven't, without combing every inbox.
  • Quick answers to admin emailsAcknowledgements, document requests and confirmations drafted in your firm's voice.
  • Team meetings with clear ownershipWho's handling which client this week ends up in the minutes, with tasks and owners.

Tessa's tax calendar, and what it isn't

Tessa includes a Spanish tax calendar with reminders for forms 303, 111, 115, 130, 349, 390, 190, 180 and 200, annual accounts approval and filing, and Social Security, adjusted for national holidays. It's designed for a single company's obligations: the firm uses it for its own and as a planning reference. It isn't client management software for advisers, doesn't file returns or replace your tax software, and doesn't account for regional or local holidays.

Example routines for an accounting firm

There's no accounting-firm template: pick "Other" and write your own routines. For instance:

  • "On the 1st of January, April, July and October, remind me to request invoices and statements from quarterly clients."
  • "If a client hasn't sent their documents within 5 days, draft me a friendly reminder."
  • "Every Monday, list client emails still waiting for a reply from last week."

Client data and privacy

Accounting firms handle clients' financial and personal data. Whatever Tessa reads in an inbox is visible only to its owner, stored encrypted in the EU, and nothing goes to a client without approval. For the firm's own treasury, PSD2 bank feeds (beta) are read-only and Tessa can never move money; the model only sees aggregates, never payroll by person.

What Tessa reads for each person stays private, your data is stored in the EU and nothing goes out without your approval.

Frequently asked questions

Does Tessa file tax returns?

No. Tessa flags deadlines and helps gather the paperwork, but preparing and filing returns stays in your tax software and in your team's hands.

Can she keep a tax calendar for each client?

Tessa's calendar is for one company, not per client. For clients, routines and follow-ups are what help: requesting documents before each quarter and chasing them if they don't arrive.

Does it connect to Holded?

Yes, in beta: unpaid and overdue invoices, bank reconciliation and quotes. Useful for the firm's own invoicing; it isn't meant for keeping your clients' books.

Can colleagues see my clients' emails?

No. What Tessa reads in each person's inbox is visible only to them. What you share are the tasks you choose to share.

Does it account for regional holidays?

Not yet. Deadlines shift for weekends and national holidays; regional and local ones need checking separately.

What does your team look like?
