An AI assistant for academies with more messages than hours
Enrolments, class changes, make-up sessions, parents with questions and teachers to coordinate: Tessa organises the front office and has replies ready.
"In September we can't keep up with the inbox"
An academy or training centre has brutal peaks: the start of term, exam season, the launch of a new course. Hundreds of near-identical questions pour in ("any places left?", "what time is the B2 class?", "when is payment due?") mixed with the ones that really need attention: a class change, a withdrawal, a worried parent.
Meanwhile, teachers coordinate in a group chat where cover arrangements get lost, and decisions from the staff meeting never reach those who weren't there.
How it works with Tessa
- 1
Connect the office inbox and Slack
Pick "Other" as your industry and tell Tessa what comes first at your centre: withdrawals, class changes, payments and parents.
- 2
Questions become tasks with replies
Every email that asks for something becomes a task with a suggested reply, using what Tessa knows about your centre. Repeat questions take seconds.
- 3
Your centre's information in one place
Timetables, prices, rules and processes decided in meetings and channels end up in the wiki, with their source. Tessa uses it to answer; the team uses it to look things up.
- 4
You review and send
Nothing goes to a student or parent until someone in the office approves it.
What you get
- September peaks, minus the panicRepeat questions arrive with the reply written; the office reviews and sends instead of typing.
- Nothing important buriedA withdrawal or class change doesn't get lost among a hundred timetable questions.
- Teachers in syncStaff meetings get minutes, tasks with owners and a recap for anyone who missed it.
- New teachers up to speed fastEvery new joiner gets who's who, the centre's processes and the tools to connect.
Example routines for an academy
There's no education template yet: write routines in your own words. For instance:
- "Every morning, list unanswered enrolment requests."
- "If a family hasn't confirmed their place within 3 days, draft me a reminder."
- "On Fridays, summarise the week's class changes and withdrawals."
Tools that fit a training centre
The core runs on Google Workspace, which many centres already use, and Slack for staff. If parents or students message on WhatsApp, WhatsApp Business (beta) brings those messages into the same inbox with a suggested reply. With Holded (beta), Tessa flags overdue fees and drafts the reminder. Tessa doesn't connect to virtual classroom platforms or student information systems.
Student data, including minors
If your centre works with children, their data deserves extra care: connect only the office inboxes, keep academic or health details out of email where you can, and review it with whoever handles data protection. Whatever Tessa reads in an inbox is visible only to its owner, stored encrypted in the EU, and never used to measure teachers or students.
What Tessa reads for each person stays private, your data is stored in the EU and nothing goes out without your approval.
Frequently asked questions
Does Tessa reply to parents on her own?
No. She drafts the reply and someone in the office reviews and sends it. Anything leaving the centre waits for approval by default.
How does Tessa know our timetables and prices?
From what the team writes in emails, channels, meetings and documents, which ends up in the wiki with its source. You can also edit the wiki by hand, and your version wins.
Can it be used with data about children?
Tessa handles the office inbox privately with data in the EU, but children's data needs extra care. We recommend connecting only what's necessary and reviewing it with your data protection lead.
Can it measure teacher performance?
No. Tessa doesn't produce individual metrics for managers. She tracks the work (tasks, open items), not people.
Does it connect to Moodle or Google Classroom?
No. Tessa works with email, calendar, Drive, Slack and, in beta, WhatsApp Business and Holded. Your virtual classroom stays as it is.
Can she help organise teacher cover?
She can pick up cover requests that arrive by email or Slack, turn them into tasks and let the person who asked know once someone takes it on. If it's agreed in a meeting, it goes into the minutes with an owner. Who covers whom is still the centre's decision.
